50-2627012 Musical Instruments and Related Accessories IFB Sourcing Event

The North Carolina Community College System (NCCCS) through coordination with the North Carolina Community College System Office (NCCCSO) aids and guides in creating contracts to ensure more competitive pricing by procuring essential products and services for the 58 Community Colleges within the State of North Carolina.

The North Carolina Community College System (NCCCS) is seeking qualified Vendors to furnish and deliver, throughout the contract period, a manufacturer’s product line for new, unused and in current production commercial and institutional quality Steinway and Sons Pianos Yamaha Musical Instruments, Jansen Piano Accessories, and Dampp Chaser (Piano Life Saver) Systems on an “As Needed” basis, if and when ordered by the community colleges during the contract period in the following categories:

• Category A: Steinway and Sons Pianos
• Category B: Yamaha Musical Instruments
• Category C: Jansen Piano Accessories
• Category D: Dampp Chaser (Piano Life Saver) Systems

Bid price shall include the total price for each item, including shipping, delivery, handling, administrative and other similar fees. Assembly and set-up at the State’s location shall be shown as an additional line price for each applicable item.

No maximum or minimum quantities are guaranteed under this Contract. The quantities actually purchased may vary based on the State's needs during the contract period.

Manufacturer(s) name and product descriptions used in this solicitation are product-specific. The items offered in response to this solicitation shall be by the manufacturer and the type specified. These specific products are needed due to compatibility and continuity of support.

The Vendor shall deliver Free-On-Board (FOB) Destination to the 58 Community Colleges within the State of North Carolina. Vendor should complete delivery within sixty (60) consecutive calendar days after receipt of purchase order. Delivery shall not be considered to have occurred until installation has been completed. Upon completion of the installation, the Vendor shall remove and properly dispose of all waste and debris from the installation site.

Vendor shall furnish all necessary transportation, materials, and supplies as may be required to deliver, install and set-in place ready for owner’s use.

The Vendor shall be authorized by the manufacturer to distribute or resell the products and/or maintenance offered in this IFB. The Vendor shall provide a signed statement from the manufacturer confirming authorization with its bid response.

Manufacturer’s standard warranty shall apply. Vendors shall include a copy of the manufacturer’s standard warranty with the bid response.

**Submission method:** Vendor’s bids for this procurement must be submitted through the Sourcing Tool. Only Bids submitted through the Content Section of the NC eProcurement Sourcing Event will be considered. Bids submitted through the Message Board will not be accepted or considered for award.

Late bids, regardless of cause, will not be opened or considered, and will be automatically disqualified from further consideration. Solicitation responses are subject to Sealed Bidding requirements.

Questions must be directed to the person on the title page via the Sourcing Tool's message board. Vendors will enter “IFB # 2627012 – Questions” as the subject of the message.

All qualified bids will be evaluated, and award or awards made as deemed advantageous or necessary to provide the estimated requirements as to breadth of lines, highest % discount offered off MSRP List, quantity, quality, delivery, service, and/or geographical coverage. It is the State’s intent to have multiple manufacturers’ products represented in each of the four (4) categories but plans to make only one (1) award in each category per manufacturer.

Offer shall be valid for 180 days from date of bid opening.

The Contract shall have an initial term of three (3) years, beginning on the date of final Contract execution. The State shall have the option, in its sole discretion, to renew the Contract on the same terms and conditions for up to two (2) additional one-year terms.

No public bid opening will be held due to only electronic responses accepted.
