Janitorial and Grounds Maintenance-Ashland Port of Entry

The Oregon Department of Transportation (ODOT) is seeking 1 qualified Contractor to provide Janitorial and Grounds Services for Ashland Port of Entry (POE).

This Contract is between the State of Oregon, acting by and through its Department of Transportation (“ODOT”) and ____________________, hereafter called “Contractor.”

The pricing for the Services to be provided by the Contractor under the Contract shall be as follows:

• The Unit Price for Item 1 is the total monthly cost for daily, weekly, monthly tasks and additional disinfecting, excluding Periodic Services.
• All Periodic Services required under the Contract are listed as separate price items. The Contractor shall list these Tasks as separate line items on the invoice per occurrence for these Tasks.
• EXCEPTION/EMERGENCY CLEANING SERVICE: Contractor may occasionally be required to perform cleaning services on an exception/emergency basis for items or areas not covered by the Task Summary. Such services shall be requested by the ODOT On-Site Coordinator or designee on an individual basis and shall be listed as a separate line item on the invoice. The cost for Exception/Emergency Cleaning Service shall be a dollar cost per person-hour for such service.

Janitorial Services for Ashland Port of Entry (POE)

• Weekly and Monthly Tasks, 12 Months
• Carpet Cleaning, 1 Per Year (Periodic Services)
• Exception Services, 1 Hour
• Emergency Services, 1 Hour

Grounds Services for Ashland Port of Entry (POE)

• Mowing (1x per month Mar-Oct), 8 Months
• Hedge Trimming and Maintenance (Quarterly), 4 Per Year
• Tree Trimming (if needed), 1 Per Year (Periodic Services)
• Exception Services, 1 Hour
• Emergency Services, 1 Hour

The Specifications applicable to any Services provided under the Contract are set forth in Exhibit A to this Contract.

Contract term

Unless otherwise extended or terminated, this Contract shall expire in **4 years** or when all Contractor obligations under the Contract are completed in conformance with all applicable requirements and payment has been made in full, whichever is sooner. [...] ODOT may extend the Contract for up to **2 additional years**. The maximum term of this Contract shall be **6 years**.

Invoices

Contractor shall submit invoices by the 10th of each month for the Services provided during the previous month.

Payment

Payment to Contractor for Services provided will normally be made within 30 calendar days following the date the invoice (prepared in conformance with Contract requirements) is received.

Price adjustments

The initial pricing shall remain in effect for not less than the first 12 months of the Contract.

Background checks

Contractor shall obtain criminal records checks for and screen each person who will be performing Services before allowing the person access to the Facility or authorizing the person to perform any Services under the Contract.
