Musical Instruments, Equipment, Accessories and Related Supplies

The Austin Independent School District (herein after referred to as “AISD” or the “District”) is seeking bids from firms qualified and experienced in providing Musical Instruments, Equipment, Accessories and Related Supplies under solicitation number 27IFB028.

This solicitation covers a comprehensive list of Basis of Design (BOD) musical instruments, sound equipment, storage, and specialized fine arts furniture across Elementary, Middle, and High School campuses funded by the 2022 Bond Program (Fund 645). Establishing an awarded list through this IFB allows the District to secure best-value pricing while eliminating the administrative requirement of requesting multiple individual quotes for ongoing campus needs. Bond Procurement Services is working directly with Bond Program Managers AECOM and Vanir|STV to ensure seamless rollout and campus fulfillment.

The Austin ISD Bond Procurement Services team, in coordination with Construction Management and Bond Program Managers (AECOM and Vanir|STV), is requesting bids for Elementary, Middle School, and High School Fine Arts and Musical Equipment under solicitation 27IFB028. This contract establishes an awarded catalog list for 2022 Bond Program campus needs, securing best value pricing and eliminating repetitive quotes.

Equipment Scope and Categories

The scope of work encompasses musical instruments, accessories, sound/MIDI equipment, storage cabinets, and specialized fine arts furniture outlined across three attached Excel templates in Bonfire:

• *Elementary School – Music Equipment – Template.xlsx* (General Music, Percussion, Storage)
• *Middle School – Fine Arts Equipment – Template.xlsx* (Band, Choir, Dance, Orchestra, Guitar, mariachi, MIDI Lab, Theatre, Visual Arts)
• *High School – Fine Arts Equipment – Template.xlsx* (Band, Choir, Dance, Guitar, Mariachi, Orchestra, Theater, Visual Arts)

Special Mandates and Program Rules

1. Exclusions: Consumables (items requiring replenishment within a semester/year) and apparel/uniforms are strictly excluded.
2. Fixed Construction Items: Any equipment requiring permanent wall, ceiling, or floor anchoring will be provided/installed by the General Contractor (GC).
3. Inside Delivery: Deliveries must include inside room replacement, uncrating, and total packing debris removal from campus grounds.
4. Pricing Structure: Bidders must price all items on a quantity of one (1) basis. Bidded pricing represents ceiling rates, and vendors must quote at or below these rates for any future campus purchases during the contract term.
5. Broad Scope Coverage: The District may request pricing from awarded vendors for additional products within the scope of this solicitation, subject to the awarded contract’s pricing provisions and applicable procurement requirements.

**Submission:** Submit the bid through the AISD Bonfire Portal no later than the due date and time. Bids must still be submitted in the specified format and all **required** forms must be signed and submitted with response. The bid opening is **November 17, 2026 at 2:00 pm CST**, with a virtual bid opening via Google Meet at 2:15 pm (CST).

Award

Award(s) will be based on best value, considering the following factors: price, product offerings and delivery after receipt of order (ARO). Pricing shall serve as the primary basis for determining vendor rankings. The District reserves the right to award contracts to multiple responsive and responsible bidders.

Term

The agreement(s) resulting from this solicitation will be in effect for an initial term of one (1) year from the date of award, or such date established by the agreement. The parties by mutual consent may renew the agreement for up to four (4) additional one (1) year periods.
